Job Description

HEAD OF HOUSE – LETOVO SCHOOL

The Head of House is responsible for the leadership and management of their boarding house, boarders, and house staff. The Head of House role is the provision of excellent pastoral care for all Letovo boarders and managing of safeguarding, wellbeing, and administrative needs of the house. The candidate will be a conscientious, diligent, and supportive adult presence overseeing the supervision and care of boarders and maintenance of a safe, secure, and happy residential community at Letovo school.

 

Working with boarders at Letovo

· The Head of House will manage and oversee the safety, welfare, happiness, and provision of pastoral care for boarders, adhering to relevant school policies, and delegating the day-to-day running of the house to the Deputy Head of House and Graduate Boarding Staff.

· Develop a friendly and professional relationship with all boarders and have an interest in all aspects of their school life, without showing any discrimination or favouritism.

· Communicate and manage adherence to boarder expectations as set out in the Letovo Code of Conduct and Little Boarding Booklet.

· Be available and resident on campus during on-duty and on-call hours for boarders to communicate with when necessary, ensuring any safeguarding disclosures are immediately passed to the duty Designated Safeguarding Lead in line with Letovo’s safeguarding policy.

· Implement and monitor the use of English-first in boarding houses among boarders and staff.

· With support from Boarding Coordinators, oversee the tidiness and hygiene of boarders’ dorms and ensure that duty boarding staff are conducting daily checks and regular monitoring, following-up to remedy, and that any significant issues are reported to relevant support departments.

· Oversee that daily routines for boarders are maintained, particularly Morning wake-ups, mealtimes, Prep and study hours, and bedtimes.

· Oversee that daily night registers, boarder fire lists and numbers, and weekly Sunday registers are completed and sent, confirming absences with parents, and checking for any discrepancies against expected numbers.

· Oversee the provision of a secure and comfortable environment within the boarding house to ensure the health and safety of all boarders at Letovo.

· Management of any low-level discipline issues in the boarding house, including coordinating with and informing stakeholders and parents as appropriate.

· Oversee management of the boarding house, including decorations, acquisitions, house inventories, weekend and public holiday activities, and seasonal boarding traditions including Christmas dorm door decorations, Letovo Carnival, and Midnight Memories.

· Managing and delegating record keeping tasks, including the Non-Safeguarding Concern table, Independent Student Records (ISR), weekly RAG reports, and parental log.

· Engaging in school activities and social events at Letovo to support boarders and house team.

· Be resident onsite the evening before term commences and resident onsite the evening at the end of term and leave the next morning so as to deal with any issues that arise for boarders who cannot travel due to a force majeure situation, or with agreement, delegating responsibility to duty Deputy Head of House.

· Overseeing the opening and closing of boarding houses at the start and end of term.

· Oversees that all boarders leave boarding houses for compulsory breakfast, flag ceremony, important talks, and assembly every Monday morning.

· Manages boarder pastoral reports twice a year and proof-reads Deputy Head of House reports.

· Manages the dissemination of Letovo’s exeat policy including any updates to the house team, boarders and parents.

· Collects and authorizes students’ weekend, academic, medical and vacation exeats including clarifying details and confirming agreement with parents and hosts.

· Lead weekly house meetings on a Monday evening with duty Deputy Heads of House.

· Manages boarder rooming requests for twice-yearly dorm allocations.

· Collate Star Boarder and Boarder Recognition nominations, prepares certificates and present to boarders at house meetings. Email certificates home to parents.

· Award and withdraw privilege to study in the house during free lessons to boarders who do or do not meet all the Letovo Diploma requirements, subject to no conflicting issues with boarding expectations.

· Manage boarders’ behaviour and confirmation of presence checks during fire drills.

· Support boarders’ leadership and community initiatives, including facilitating and minuting monthly boarding ambassador and student voice meetings and following-up as appropriate.

· Manage the induction of new boarders and new boarding staff.

· Manage the boarding house rewards procedure, with assistance from Deputy Heads of Houses, to promote positive community spirit, house identity, and team building.

· Support boarders and Letovo school departments to help remedy student issues and enhance pastoral guidance.


Working with staff and parents

· Timely reporting of any health or welfare concerns to Boarding Coordinators and relevant support departments including the Medical Centre and Boarding Psychologists.

· Delegate and collate Concern Logging Forms and statements from boarders regarding behavioral issues. Follow up with Boarding Coordinators when necessary for support as to remedying the situation as appropriate. Ensure the Social Pedagogue is copied in to emails about breaches and when reporting any behavioural concerns.

· When on-duty, completing the daily pastoral handover and overseeing the following-up and remedying of duties in the daily task diary.

· Completing the weekly Head of House handover for duty Deputy Heads of Houses before going off-duty.

· Communicating with the Medical Centre, Boarding Psychologists, and PSY team when necessary.

· Coordinating with academic staff, student development, and other administrative support departments as appropriate.

· Communicate regularly with parents regarding positive news and behavioural concerns with the support of Boarding Coordinators when necessary.

· Support the Physical Education department regarding attendance at compulsory sports and Komanda competitions.

· Manage and direct house teams regarding end of semester clearing up, cleaning and dorm checks, handling of storages, laundries and wardrobes, and reporting of any issues to the Operations department.

· Working as per usual rota on public holidays that fall during term time.

· Attend and contribute at weekly Head of House and inter-departmental meetings.

· Attend and contribute at whole boarding staff training sessions.

· Makes arrangements for the topic of house team trainings and meetings to ensure good staff knowledge of policies and procedures and that effective communication is maintained between the house team.

· Develops the house team’s knowledge and understanding of boarding and pastoral care and progresses individual and team’s strengths and talents.

· Leads Deputy Head of House and Graduate Boarding Specialists’ probations and the annual March appraisal process under the direction of Boarding Coordinators and HR.

· Completes probation appraisal matrix for new boarding staff and returns to HR upon request.

· Manage house budget and procurement of items for boarding houses.

· Ensuring data protection and confidentiality are adhered to by boarding house staff.

· Instigate and take-up opportunities outside of your rota commitments to be a Tutor or teaching assistant and build your career portfolio.

· Any other reasonable duties as assigned by Boarding Coordinators and Deputy Head of Boarding.

Education and work experience: Higher education degree with relevant experience in a similar management or leadership role working with children or young people. Sound knowledge of national and international boarding standards. Up-to-date child protection and safeguarding knowledge. Experience of accompanying students on excursions and trips desirable.

 

Specialty: First Aid/coaching/mentoring or counselling experience desirable.

IT Skills: Ability to proficiently use Yandex 360 software and Word, Excel, PowerPoint. Able to work with different browser-based management information and administration systems.
