Job Description

Key Responsibilities

Document Control & Policy Lifecycle Management

●     Act as the central document controller for Liwa Education academic and operational documentation.

●     Maintain document version control, naming conventions, storage structures and filing systems across relevant platforms.

●     Coordinate the administrative side of the policy review cycle, including review schedules, circulation, feedback collection, tracking of amendments, approvals and publication.

●     Maintain policy review trackers and follow up on review timelines and outstanding actions.

●     Ensure superseded documents are archived appropriately and current versions are clearly identified and accessible.

Curriculum & Academic Process Coordination

●     Maintain and proactively monitor calendars, timelines and review schedules relating to curriculum and academic processes.

●     Send reminders and follow up with schools, departments and Subject Leaders regarding upcoming deadlines, reviews and required documentation.

●     Support the coordination of cyclical curriculum review processes across schools and departments.

●     Maintain trackers, timelines and documentation relating to curriculum review cycles.

●     Support the collection, collation and formatting of curriculum-related documentation from schools and Subject Leaders.

●     Support the administrative organisation and publication processes relating to scope and sequence documentation.

●     Maintain curriculum manuals and curriculum catalogues in line with approved updates and review schedules.

●     Support communication and follow-up relating to curriculum review requirements and deadlines.

Assessment & Examination Administration

●     Provide administrative support for assessment and examination processes across Liwa Education.

●     Coordinate the organisation, storage and retrieval of examination papers and associated assessment materials.

●     Maintain secure and organised electronic filing systems for assessment documentation.

●     Assist with assessment scheduling, documentation preparation and communication processes where required.

Data Management & Reporting

●     Extract data from PowerSchool and related systems as directed.

●     Prepare spreadsheets, reports, summaries, trackers and presentation materials for leadership teams.

●     Support the formatting and presentation of academic and operational data for meetings and reports.

●     Maintain accurate and organised records and data files.

Training, Induction & Meeting Coordination

●     Arrange induction programmes, training schedules and related logistical arrangements.

●     Coordinate invitations, attendance tracking, materials preparation and meeting arrangements.

●     Collect, collate and present participant feedback following training and induction activities.

●     Arrange meetings relating to assessment, governance, curriculum and other Liwa Education processes.

●     Prepare agendas, circulate documentation and maintain meeting records and action trackers where required.

Liaison & Communication

●     Act as an administrative point of contact between schools and Liwa Education departments and personnel.

●     Support communication and follow-up regarding timelines, document submissions, reviews and process requirements.

●     Chase outstanding information, documentation and actions professionally and consistently.

●     Support the smooth coordination of cross-school academic and operational processes.

General Administrative Support

●     Create, format and quality-check professional documents, presentations, trackers and reports.

●     Maintain organised electronic filing systems and administrative records.

●     Support wider academic operations and administrative projects as directed.

●     Undertake additional administrative duties appropriate to the role.

Experience

●     Previous administrative experience required.

●     Experience working with large volumes of documentation and tracking processes preferred.

●     Experience using Microsoft Office 365 applications, including Sharepoint and OneDrive

Skills & Competencies

●     Strong organisational skills and attention to detail.

●     Ability to manage timelines and follow up on tasks effectively.

●     Strong document formatting and presentation skills.

●     Ability to organise documents and maintain accurate records.

●     Good written and verbal communication skills.

●     Ability to work professionally with multiple schools and departments.

●     Ability to maintain confidentiality where require

●     Ability to manage workload and prioritize effectively
